Waiver completion, booking confirmation, payment and attendance are separate facts. Check each one instead of treating a green status in one area as proof of everything else.

Prepare the waiver workflow
Review your active waiver template and the venue information it contains. Your business is responsible for having appropriate wording, age requirements and guardian procedures. IOX can configure the software, but a template or example is not legal advice about your venue’s activities.
Check how guests reach the waiver: booking communications, a shared booking link or the check-in flow available to your staff. Open the guest experience on a phone and confirm the form is readable before relying on it during a busy arrival period.
Check the actual participants
- Find the correct booking and expected player count.
- Compare the participant list with the group that has arrived. The person who paid may not be every participant.
- Identify incomplete waivers and follow your venue’s guardian policy where applicable.
- Help the guest use the supported signing flow. Do not sign in their place or collect passwords.
- Refresh the booking’s waiver status and complete check-in only when the required arrival tasks are resolved.
If the group adds a player, review capacity and payment as well as waiver completion. If a guest has a previous waiver, use the system’s current status and your policy; do not assume a document from a prior visit covers today’s circumstances.
Protect guest information
Keep the staff waiver list away from public screens. Let guests enter their own personal information where possible. A lobby display, public screenshot or Help request should not expose waiver signatures, birth dates, phone numbers or private access links.
Use the booking number when reporting an issue to authorized support, and share only the minimum evidence needed through the appropriate private channel.
When completion does not appear
Confirm the guest opened the link for this booking and completed the final submission step. Refresh the staff record once, then inspect the participant association. Repeatedly sending invitations can confuse the group without fixing a mismatched booking.
If the problem remains, capture the booking reference, approximate time, device/browser and a description of the missing status. Continue under your venue’s approved arrival procedure while support investigates; do not invent a software completion record.
