The front desk connects the reservation to the real group in front of you. Open the correct active location and today’s arrivals before the shift gets busy.
Prepare the shift
Check bookings, room times, player counts, notes, outstanding balances and waiver status. Identify any private groups or unusual arrival requirements. Confirm which game master is responsible for each session and whether the physical room is ready.
- 1Start the supported walk-in workflow here.
- 2Confirm the arrival date.
- 3Filter the arrival board by the task you need to resolve.
Use a larger screen if you need to compare several arrivals at once. The phone layout is useful for a quick check or handover; keep a guest-facing device on its intended kiosk screen rather than leaving staff records visible.
Take a walk-in
- Ask which experience and group size the guests want, then check actual available times.
- Confirm room capacity, reset time and staff coverage. An apparently empty room may already be held or booked online.
- Use the walk-in or new-booking workflow available at the front desk. Select the correct room and slot, and record the required guest details.
- Review the full price and take payment through the supported method. Record cash or another accepted method accurately; do not mark an electronic transaction paid while its result is uncertain.
- Complete the participant and waiver handover, then confirm the booking appears on the day’s list.
Check in an arriving group
Match the booking, verify the expected players and review outstanding tasks. Check-in is distinct from a paid status and from a signed waiver. Resolve discrepancies before sending the group to the room. Tell the game master about late arrivals or a changed group size.
Brief guests using your venue’s actual safety and play instructions. Skape’s screens support the experience but do not replace the staff briefing or emergency procedures.
Hand the room over
The game master should know the booking, player count and any unresolved issue. After play, record the result and ensure the physical reset is completed before accepting the next group. Use the available readiness controls and your shift process consistently; a timer finishing is not evidence that every puzzle has been reset.
For payment uncertainty, use the transaction record before collecting again. For an over-capacity group, see groups and parties rather than forcing the extra players into a smaller room.
