Build a schedule that leaves room to reset

Publish availability, understand scheduling modes, and manage hours, holidays and blocked time.

Availability is the intersection of the room, its schedule, existing bookings, holds and the venue’s operating rules. A room being visible does not guarantee that every date has a bookable time.

Start with an ordinary operating day

  1. Confirm the location timezone and the room’s duration, capacity and reset buffer.
  2. Open the room’s schedule or Time slots / Calendar, depending on the setup available in your dashboard.
  3. Check which scheduling mode is configured. Skape supports manually managed slots and configured schedule generation; use the controls shown for your mode instead of maintaining overlapping sources of availability.
  4. Define the hours or slots you actually intend staff to cover. Preview the result on a weekday and weekend.
  5. Open the public booking page and compare the displayed times with your staff view.

Manual slots and generated schedules

Manually created time slots are useful when each opening needs explicit control. Configured schedules generate availability from saved rules. Before changing the mode, understand what happens to existing slots and reservations; do not delete or recreate booked times to make the calendar look tidy.

The schedule settings and holiday controls handle exceptions. A closure, shorter day or private event should be represented in availability, not left only in a staff note. Review more than the next day: an exception can fall outside the first visible calendar window.

When a time is missing

Check the selected room and date first. Then inspect operating hours, booking cutoff, game duration, buffer, capacity already sold and any holds or blocked time. A temporary checkout hold may reserve inventory while a guest finishes payment. Avoid promising that inventory to a walk-in until its state is clear.

If a generated time appears wrong, record the room, local date, expected start time, scheduling mode and the rule that should apply. This is much more useful to support than a screenshot of an empty calendar without the date selected.

Make a change safely

Look for affected bookings before shortening hours or changing start intervals. Agree who contacts any affected guests and who performs the reschedule. The booking guide covers that handover. After saving, verify the public view again; a saved settings screen alone is not the final check.
