Always identify the active venue before changing a schedule, price, payment setting or booking. Similar room names at two venues are an easy way to make the wrong change.

Switch deliberately

Use the dashboard’s location selector or Locations area. Skape tracks an active staff membership for the selected venue. After switching, inspect the venue name and a familiar room before starting work. A browser cookie or a URL containing a venue slug is not a substitute for authorized staff access.

The Help Center’s “For your venue” shortcuts use the verified active staff location. If it cannot identify one unambiguously, it shows public guidance instead. Open the dashboard to select the intended venue and return to Help to refresh its context.

Keep each location’s setup complete

Review address, timezone, room capacity, operating hours, holidays, tax, payment connection, staff roles and communications at each location. Do not assume a change made at one venue has propagated to another.

Use the correct public booking page or widget configuration for each site. A location’s marketing page should lead to its own rooms and checkout. Test links from the actual website on a phone, especially when several venues share one company website.

Handle cross-location requests

When a guest wants to move to another location, first verify whether the supported booking change flow covers that move. Payment records and reservations are location-scoped; avoid manually copying one without reconciling the other. Agree the customer communication, refund or new payment process before making changes.

Record the original and destination venue names in an IOX configuration request. “Use the same setup as our other location” is a useful starting point, but list differences such as tax, hours, prices and room duration so they are not silently copied.

Staff and reporting

A staff member who works at several venues needs the appropriate membership and role at each one. Company ownership does not mean every team member should see every venue’s customer records.

When comparing reports, keep date range, timezone, payment status and refunds consistent. Check what a report actually includes before calling it a company-wide total. Keep a handover note when switching locations mid-task so an unfinished refund or schedule change is not forgotten.
